What If COVID-19 is still an issue in 2022?
If by chance COVID-19 is still a major threat in 2022 then we will do all that we can to bring in measures to make sure everyone is safe. Depending on the circumstances we will most likely postpone until the following year allowing anyone who has purchased a ticket to get a full refund or carry the ticket over. HOW LONG IS THE EVENT ON FOR?
Kokorocon is a 3 day convention running from Friday the 1st of April to Sunday the 3rd of April 2022.
Registrations open from 12pm on the Friday. If people arrive a day early then we may allow a few members early registration
WHAT ARE THE AGE LIMITS?
This convention is an 18+ only event. You must be 18 or over on the 1st April 2022 in order to attend. Minors will not be permitted.
CAN I ARRIVE AT THE HOTEL BEFORE THE CON STARTS?
You certainly can! In fact, we encourage it, as it gives you time to get settled and unpacked before the convention starts – no one likes feeling rushed as soon as they arrive. Check-ins are from 3pm if you arrive the day before on Thursday, or if you arrive earlier on Friday you can chill out in the comfortable bar area until check in opens later in the day.
WHAT DO I NEED TO BRING TO REGISTER AT KOKOROCON?
You need to bring proof of your ticket – you can do this either by showing us the ticket and QR code on your phone, or by printing it off and bringing in a paper copy. You’ll also need to bring your government approved photo ID to verify you’re over 18.
DO I NEED TO BRING ID?
Yes, ID will be needed for entry to Kokorocon; without it we cannot complete your registration and entry will not be permitted. See below for more about valid forms of ID.
WHAT DO I NEED THE CONBADGE FOR?
The Conbadge is proof that you’re an attendee at this event – without it you won’t be able to access any of the convention areas aside from registration. It also has important emergency information on the back of it, so keep it on you at all times!
WHAT FORMS OF ID ARE ACCEPTABLE?
We accept passports, driving licences, military ID, national ID cards and cards bearing a PASS hologram. All ID must have a photo, a signature and date of birth shown. The ID must be valid at the time of the convention. Please be aware that the name on your ID must match the name on the registration.
WHAT IF I DO NOT HAVE ANY PHOTO ID?
Unfortunately without any photo ID we cannot allow entry, however, you can apply for a Citizen card HERE
IS THERE PARKING AVAILABLE?
Yes – there are 600 parking spaces on site at the Crowne Plaza Hotel Nottingham. All attendees get free parking, regardless of whether they are staying on site or not. If for some reason all parking spots are full, there are 2 other parking garages within a couple of minutes walk from the venue.
● Q-Park Talbot Street Car Park - 2 minute walking distance from the venue. Daily rates are £17.50
● Upper Parliament Street Car Park - 2 minute walking distance from the venue. Daily rates are £14
● NCP Nottingham Maid Marian Way - 11 minute walking distance from the venue. Daily rates are £5.80
How to request a refund
To request a refund, please email firstname.lastname@example.org with the subject “Refund Request”. You must be sure to include in the email itself: - Your full name - Badge name - Registration ID number Please note that KokoroCon can only refund you for your ticket – for refunds regarding accommodation, you will have to speak to your accommodation provider directly (e.g. The Crowne Plaza Hotel). Their refund policies may differ from ours.
Refund amount and details A £3.00 admin charge will be issued for all refunds. If you wish to transfer your ticket to someone else instead, there will be a £5 admin charge to do so. Refunds are issued in full if requested more than a year before the event, or if the convention is canceled/postponed due to COVID-19 still being a major issue at the time. Once within a year of the event, partial refunds will be issued depending on how close to the event it is requested. - 6-12 months before the event - 80% refund. (This will be 1st April 2021 – 30th September 2021)
- 3-6 months before the event – 50% refund. (This will be 1st October 2021 – 31st December 2021 If the convention is canceled/postponed due to COVID-19 still being a major issue nearer the time, all tickets will be offered the opportunity to move their tickets to the rearranged date, or to receive a full refund. The reason for reduced refunds nearer to the event is because the ticket sales are used towards the wonderful events, guests and practicalities of the convention. As a small, not-for-profit convention, a lot of these costs become non-refundable nearer the time or incur hefty cancellation fees. We hope you understand that this refund system is so that we can arrange the best convention possible for everyone!
Ticket transfers You can request for your ticket to be transferred to someone else by contacting our Registrations Officer at email@example.com . All transfers need to be done this way to ensure details are correct on our system and that ID can be verified at registration. Simply handing your ticket to someone else will result in them being denied entry, as their ID will not match the original registration details. All transfers incur a £5 admin fee.
